Business & Finance and Trusts & Estates Legal Assistant* – Lexington, Ky. office (in-office)

Stites & Harbison is seeking an experienced, Legal Assistant to support attorneys in our Business & Finance and Trust & Estates Service Groups. In this role, you will work closely with attorneys on business and finance matters, trust and estate administrations, and estate planning.

This is an in-office position. Canidates must reside within commuting distance of Lexington, Kentucky.

What You’ll Do
Business & Finance
  • Maintain calendars and closing schedules; coordinate due diligence.
  • Prepare and draft legal documents; maintain indexing and filing via the firm’s document management systems.
  • Manage engagement letters and client files.
  • Assist with monthly billing, invoicing, and expense reports.
  • Prepare and file UCC financing statements, entity formation, governance documents, and Secretary of State filings.
Trust & Estate
  • Obtain asset and personal information for estate and trust administration.
  • Assist with transferring assets to beneficiaries per testamentary documents and court orders.
  • Maintain financial records and organized files for estates and trusts.
  • Coordinate with attorneys, accountants, brokers, trust officers, and bankers on administration matters.
Estate Planning
  • Help attorneys gather information for Estate Planning Questionnaires.
  • Assist in drafting wills, powers of attorney, living wills, and HIPAA authorizations.
  • Coordinate meetings and correspondence with clients, co-fiduciaries, and attorneys.
What You Bring
  • 3+ years supporting business, banking, trust, estate or corporate/commercial transaction matters in a law firm or professional environment.
  • Bachelor’s degree preferred; Associate degree in business, paralegal studies, accounting, finance, or related field considered.
  • Advanced proficiency in Microsoft Office and legal research tools.
  • Ability to quickly learn new technologies, including document management systems and AI tools.
  • Strong writing, proofreading, and analytical skills; comfortable managing multiple priorities with discretion

Construction Legal Assistant* – Lexington, Ky. office (in-office)

Stites & Harbison is seeking an experienced, detail-oriented Construction Law Paralegal to support attorneys in our Construction Service Group. The ideal candidate thrives in a collaborative, fast-paced environment and is committed to delivering exceptional client service. This is an in-office position based in our Lexington office.

Job Summary

The Legal Assistant provides support to attorneys in the Construction and Data Center Service Groups, handling moderate to complex tasks related to case preparation and management. This includes trial preparation, document production, drafting legal documents and correspondences, assisting with depositions, and managing large volumes of documents.

  • This is a nonexempt position.
  • Hours: Monday through Friday – 8:30 a.m. – 5:00 p.m. (lunch noon-1:00 p.m.)
  • Dress Code: Professional/Business Casual
Essential Duties & Responsibilities
  • Manage administrative tasks, organize documents, assist with contracts, discovery, and filing.
  • Prepare legal documents, including briefs, pleadings, contracts, trial binders, and other documents specific to the Construction Service Group.
  • Manage litigation cases and large projects, including document organization, retrieval, production, and prepare exhibits for depositions and trials.
  • Prepare deposition exhibits and assist with trial exhibit preparation.
  • Ensure proper indexing, filing, and organization of legal documents, utilizing litigation support software or other methods as required.
  • Perform general administrative miscellaneous duties as assigned.
  • Assist attorneys with monthly billing and invoicing each month.
  • Advanced proficiency in Microsoft Word, including track changes, complex document formatting, automated numbering, style management, and cross-referencing.
Education & Experience Requirements
  • Associate’s or Bachelor’s degree in the legal field or a four-year Bachelor’s degree in a related field preferred.
  • Minimum of five years of experience in related litigation, including experience from pre-trial through trial and post-trial activities.
Knowledge, Skills & Abilities Requirements
  • In-depth knowledge of current legal issues and trends in construction law preferred.
  • Ideal candidate will be highly technical.
  • Advanced proficiency in Microsoft Office applications. Demonstrated ability to quickly learn and effectively utilize new technologies, including document management systems, legal software, collaboration platforms, and AI tools, as they are adopted by the firm.
  • Proficiency with legal research tools, litigation software, word processing, and spreadsheet applications.
  • Strong analytical skills, with the ability to compile, organize, and verify information.
  • Advanced writing skills, including the ability to draft legal documents and coorespondence clearly and accurately.
  • Excellent communication skills, with the ability to interact with attorneys, clients, and external parties to coordinate and discuss complex legal matters.
  • Ability to manage multiple tasks and solve practical problems, often with limited standardization.
  • Strong organizational skills, with the ability to maintain and prioritize multiple cases and projects simultaneously.
  • Ability to work effectively in a team, developing constructive and cooperative working relationships with colleagues and clients.
